Asset Tracking Software systems have now been around for a long time. Like most software systems they have been adpated over time to take what was once a paper based system onto the computer. As you can imagine there also many different shapes and sizes of Asset Tracking systems as well, the all singing all dancing - need a degree in computing to operate type, down to the one user make my life as simple as possible please type!

So where do you start when looking for an Asset Tracking software system? Well without sounding too obvious you need to look at the size of your operation. Some organisations will probably already have some kind of Excel or similar based system in place to track the companies assets. Whats wrong with this? the answer is nothing, if it's working for you effectively. However at some point a company is likely to outgrow a system like this and are looking toward a specific application that will handle their day-to-day asset tracking needs.

Importing Asset Data and reporting

Many of the Asset Tracking software packages available to you today will have some handy import tools which should be able to get you started with a simple asset and inventory system pretty quickly. This is a fundamental part of the services that such a software provider should be offering you. Perhaps the most important thing to consider first of all though when looking for a system is what you want to get out of it. You probably already have some basic reporting tools in place with any current system you have for tracking assets but now is the time to think about what kind of reports would help you do your job more effectively. At some point down the line either your manager or their manager will want some kind of report relating to the assets in the company and how much they are costing to maintain. The first thing to do is think about what you want out of the software system before you start putting anything into it, the type of system you choose and the way you build the data will reflect directly on the reports you want to generate out the other end.

Tracking maintenance and asset depreciation

Whether your looking purchase either a specific system for say tracking all of your IT inventory or a system to track every single asset in your building, being able to track maintenance, spending and depreciation on those assets is important. This is probably fairly obvious but if you have a photocopier which costs you say £3,000 and after 6 months you have spent another £1,000 maintaining it then you would want to know about it. Without tracking maintenance costs on the assets you have no idea how much they are costing the business to run but also the maintenance staff have no record of previous work carried out which could help them fix an issue more cost effectively.
